How to do when we receive an order from Heimstaden 



Production


Pilot 2025: (testing new process) 

GOALS: Avoiding Steps. 

  • We Remove Slack notification for New orders.
  • Keep Slack ONLY when TAO needs to send back an order.


ACTIONS IN PA:

Quality Control team

  • Agents will create their orders on PA Norway. 

  • We check periodically if in “Awaiting QC” is there is something from Heimstaden.

  • Add the order on the “QC Report” on the "HS_VirtualStaging 2025" sheet.

  • Check if the product chosen by the agent is correct and change it if necessary.

  • If one of the files contain more than one image, stage only one (the one that sells better the space. Ex: bathroom sink instead of toilet)

  • Read on the photos if the agent leaves any comments in the photo Fex: dining room, studio, etc..

  • Give comments to Tao in PA:


For Denmark (DK) We only add furniture to the images. Send a reference or Style code from the catalogue.


For Netherlands (NL) we ask Tao complete renovate the images: 

  • Replace the floor, walls, ceiling, windows, doors and add ceiling lamps & courtines. 
  •  Complete renovation. Add furniture using reference. 
  • Send a reference or Style code from the catalogue

Editig Desk Production

  • TAO will see the order in "Awaiting Edited images" market with this a sandwatch symbol⌛️
  • He will follow this article to produce the orders and we will recieve them back in "Aw Quality Control" when they are ready.

Quality Control Team

  • We will use Slack ONLY if there is a comment to the Desk to revise the image. In this case we market as "Returned to Tao" in QC Report.
  • If all is OK, we deliver to the client b yaproving the finals and clicking "sen to Client" 
  • We change QC Report marking as "Delivered" the order.
  • We are done!

BATH / KITCHEN references

  • Click "Send comment to Editor" at the bottom on PA order.




  • We add the PA link on the designated Slack channel “prod-buitao-euro_project” and tag Tao as we do for Norway and the US.

  • We will receive finals (no drafts) We check the quality in full screen if it is ok.

  • Send it to the client.

  • Set as "Completed" the order Status.

  • Add an green dot icon  in Slack on the order request to indicate the order as complete & delivered.

  • If the order comes back from client with a comment (they appear on Awaitng edit) We sent them back to Tao and add orange dot in slack 

  • We are done!!


QC Report Status


We have different Status

  • New order: When we add to the sheet the new ones we receive
  • Sent to Tao: After we leave comment to Tao and we are awaitng for the finals
  • Delivered: Once we deliver to the client
  • In process: To notify the rest of the team that we are working on an order.
  • Waiting for client: If we are waiting for client's answer
  • Canceled: If the order was canceled

Its good to understand the products they have so if they make a mistake choosing the product, we can replace it properly.
